What to send before a first call with a private studio
A short guide to what makes a first conversation with a private studio productive. Written for founders and office managers preparing to reach out for the first time.
The single biggest thing that improves a first call with a private studio is the material sent before it. A well-prepared enquiry saves the client an hour of scoping questions and lets the studio arrive with real thought instead of standard discovery.
You do not need a brief#
A brief is what the engagement produces, not what it starts with. What is useful, before any first call, is a short set of honest fragments.
A paragraph on the situation#
Who is asking, on behalf of whom, and what has prompted the enquiry now. Not the business background. The reason this is happening this quarter.
A link to whatever exists today#
The current site, platform or workflow, even if it is embarrassing. A screenshot is fine. The studio would rather see the real thing than a description of it.
A rough sense of shape#
Is this a private website, a platform, an AI system, a rescue, or an ongoing retainer question. It is fine to be unsure between two of them. Being unsure between all five is a sign that the internal conversation has not happened yet.
A budget range, even a wide one. Not a final number. A range the person writing feels comfortable with. This one sentence prevents most of the awkwardness in early conversations, on both sides.
A timeline expectation#
Ideally a launch or decision date the situation is pointing to, and any dates that are hard constraints such as an event, a season or a regulatory deadline.
One named person on the client side who will own the conversation from here. Serious engagements are rarely designed by committee. Someone has to be the counterpart.
None of this needs to be polished#
A well-written email is enough. The studios worth working with will read it carefully and reply with real thought within a working day. That is the whole point of preparing it: to make the first conversation the useful one, not the second.
